Expanding Reach Through Seamless Connectivity

Reinventing the wheel often doesn’t make sense but improving it does. That’s the approach we’ve taken with some of our recent updates to the Circulo HCP engagement platform.

There are numerous acronyms—such as CRM, WMS, DMS, and ERP¹—representing different platform types today, each with its own specialization. However, not all of these systems communicate well with one another, and some don’t communicate at all. At Circulo, we’ve taken the approach that seamless integration between our platform and leading industry systems is essential to improving patient outcomes, reducing waste, and increasing efficiency in drug sample fulfillment and HCP engagement.

There’s no shortage of platforms out there, but as life sciences companies modernize, connecting these platforms becomes more urgent. Bringing content and data together helps eliminate manual work, break down silos, and create smoother, end-to-end processes. Our team at Circulo addresses this need through flexible integration methods that ensure information flows efficiently between pharma companies, healthcare providers, and service platforms.

Integrating Legacy Platforms and Modern Systems Requires Flexibility

Today, Circulo’s HCP drug sample management and sales material engagement platform supports several integration methods to connect with third-party systems. Platforms do this in two ways: through batch processing and real-time processing. Batch processing is ideal for simultaneously handling large volumes of data, such as processing bulk sample orders or nightly reconciliation of order status updates from fulfillment partners. In these cases, immediate results aren’t required, and the focus is on efficiency and accuracy across multiple transactions.

On the other hand, real-time processing is better suited for time-sensitive workflows, like instantly confirming a sample order submitted through a CRM, updating inventory availability for a field rep in the moment, or pushing shipment tracking information to a provider-facing platform.

Batch Processing

batch processingWe regularly exchange data through secure file transfers (sFTP) using standardized CSV or XML files and often ingest structured reports in common formats such as PDF or Excel. These file-based integrations are actively used today to synchronize data in batches, which is a widely accepted practice in pharma for connecting disparate systems.

In addition to traditional formats, Circulo’s platform is built to handle a variety of input methods. When direct integrations aren’t an option, we can set up secure, dedicated email inboxes to receive order information. From there, built-in automation scans the emails, pulls out the key details, and converts them into structured orders—no manual entry needed. This kind of flexibility makes it easy to plug into a wide range of partner workflows, regardless of the format or system limitations.

Real-Time processing

api diagramWhile batch processing is commonplace, it’s not necessarily real time. APIs (Application Programming Interfaces) have been used for over two decades in the industry and offer real-time connectivity, allowing instant, automated data sharing without intermediate files.

This dual approach allows us to interface with modern and legacy systems, enabling connected business processes through scheduled file drops or API calls. For example, the market’s leading CRM for life sciences supports external connectors for sample fulfillment and accountability, and Circulo integrates these capabilities directly to enable seamless data exchange.

When an HCP submits a sample request in the CRM, the order details can flow to Circulo for processing and fulfillment. Circulo can then return shipment status, tracking information, inventory updates, and lot details back to the CRM, ensuring field teams have real-time visibility and that all compliance and sample accountability requirements, such as Acknowledgments of Content (AOC), are fully supported.²

Conversely, sales reps can also enter the Circulo platform directly to order samples and related sales and marketing materials, with those transactions then synced back to their CRM. With all your data connected, you benefit from less manual entry, more accurate information, and simplified management reporting.

Our integration setup is built to be both secure and flexible, so as partners define new data feeds or connection points, Circulo can easily adapt to support them.

Closing the Loop Between Ordering and Delivery

Through our integration with 3PL partners, our clients streamline their fulfillment process, from the time an order is submitted to the moment it’s delivered.

When a sample or material request is placed through the Circulo platform, a standardized CSV order file is automatically submitted to the fulfillment center’s WMS for processing. Once the order is picked, packed, and shipped, status updates and shipment confirmations flow back into Circulo, alerting users and managers and informing all stakeholders—field reps, program admins, and manufacturers—in real time. This closed-loop integration ensures accurate data, eliminates manual reconciliation, and improves visibility across the fulfillment lifecycle.

For pharma teams, this means faster delivery, fewer errors, and a smoother experience for HCPs. It also helps ensure compliance with regulations like 21 CFR Part 11³ and supports sample tracking and accountability by keeping detailed records of what was shipped, when, and to whom. With all fulfillment data consolidated in Circulo, clients benefit from a single source of truth, making audits easier and cross-team reporting more consistent. On top of that, centralized dashboards give managers valuable visibility into usage, cost, and waste, helping them make more informed, proactive decisions.

Circulo’s integration model is flexible enough to support multiple WMS partners and fulfillment centers, allowing manufacturers to scale and adapt without disrupting operations.

Extending Provider Reach through EHR and Workflow Integration

One of the key advantages of our integration strategy is the ability to support provider workflows more directly by connecting with systems already in use at the point of care. This includes ongoing and future integrations with platforms that facilitate access through EHRs and practice management systems.

These connections are designed to make it easier for providers to request samples or initiate patient support programs within their existing workflow, reducing manual steps, improving accuracy, and helping to accelerate speed to therapy. By integrating into the broader healthcare ecosystem, our goal is to enable manufacturers to extend their reach and provide more seamless access to critical resources at the moments that matter most.

Your Platform Is Ready to Grow—Circulo Will Make It Happen.
